Purpose: |
Performs diverse
administrative duties. May act independently within established
guidelines. Works closely as a team player. Daily activities include
screening important calls for the team which may include interaction
with high-level contacts & physicians. |

Summary of Major Responsibilities: |
Uses problem solving
techniques, tact and discretion when handling telephone calls, making
travel arrangements, scheduling meetings and managing other requests for
information. Performs various administrative duties including
Internet/Intranet research, facilities coordination, setting up files,
ordering supplies and equipment, photocopying documents and distributing
mail. Types and proofreads correspondence, reports, and forms; corrects
grammar and formatting errors; assists in formatting Word documents &
creating PowerPoint presentations; drafts brief correspondence of a
routine nature. Acts as an information resource on organizational
policies and procedures. Collects, logs and organizes information from a
variety of sources as requested. Assists in the development,
implementation and monitoring of internal operating systems and
procedures. Interacts with peers, clients and customers on a frequent
basis. |

Summary of Major Requirements: |
High School diploma or
equivalent. 3 years of administrative experience and training.
Keyboarding skills; basic/intermediate knowledge of word processing,
spreadsheet, database, and graphics presentation applications;
electronic meeting/calendar coordination; travel planning; cost center
management; intermediate communication skills (written &
verbal);-telephone techniques and etiquette;-task management;-familiar
with current office technologies;-records management. Organized,
efficient, process oriented; interpersonal/communication
skills;-self-motivated; team player;-strong work ethic;-works well under
pressure in a dynamic environment;-tactful, exercises independent
-judgment and discretion--professional presentation. Preferred
requirements include: Formal computer training; working knowledge of
Internet;-knowledge of Microsoft Office Applications (Word, Excel,
Access, PowerPoint). Sit for extended periods of time; light lifting. |

Purpose: |
This position is for a
Front Desk Receptionist, experienced with multi-line telephones and
general clerical/administrative office duties. |

Summary of Major Responsibilities: |
- Answer telephones,
greet visitors, direct calls and visitors to appropriate party
- Collects and distributes US and Interoffice mail, facsimile
transmissions and telephone messages
- Assist other departments with special projects when approved by
Facilities Manager
- Books conference rooms for large and small meetings
- Place orders for office and operating supplies
- Excellent interpersonal skills – ability to work well with others
- Good communications skills – both verbal and written
- Good organizational skills – plans work, executes plan and maintains
organized work area
- Flexible – ability to adapt to changing requirements and priorities

- Keep copier supplies stocked in workrooms
- Assist in maintaining office equipment (copiers, faxes, printers)
- Maintain and setup training rooms for meetings
- Spot check conference rooms and other public areas for cleanliness
- Stock kitchens with appropriate supplies
- Prepare outgoing mail and materials for pickup by USPS/Fed Ex/UPS etc.
- Complete other duties and responsibilities as requested by Facilities

Summary of Major Requirements: |
EDUCATION and/or
EXPERIENCE: Minimum education high school or GED and one to two years of
clerical/administrative experience.
QUALIFICATION REQUIREMENTS:
Mailroom experience preferred but not required
Must be able to lift up to 70 pounds
Good organizational and time management skills
Moderate to proficient PC applications using Microsoft Windows, Word,
Excel, PowerPoint, and Visio
Experience using multi-line telephone system
Excellent interpersonal, communication and organizational skills |
